What we hold about you

Dear Theo is a register of film funding kept by people. We hold as little about you as we can, we say exactly what we hold, and we stop the moment you ask.

Who is responsible

Andrzej Wiśniewski, a founder of Dear Theo, based in Warsaw, Poland. When the company behind Dear Theo is registered, it takes over, and this page will say so. Write to us at theo@mydeartheo.com about anything on this page.

What we collect, and why

Your email, if you join the waitlist
To tell you when Dear Theo goes live and to send you updates about it. We do this because you asked us to (your consent). Every email has a link to unsubscribe, and one click is enough.
Your survey answers, if you ask for five funding matches
Your name, your email, what you tell us about your film, and, if you choose to give them, a link to your work and your answers about how you look for funding today. We use them to find the funding that fits your film and to send it to you, because you asked us to. Your optional answers also help us understand what filmmakers need.
Your funding roadmap, if we prepare one
If we talk and agree to prepare a fuller roadmap for your film, it lives on a private page on this site: unlisted, hidden from search engines, and only at an address we send to you. We publish it only with your agreement, and we take it down when you ask.
LinkedIn, if we write to you there
Andrzej, one of the founders, may comment on your posts or write to you on LinkedIn about your work and about Dear Theo, using what you have made public on your profile. We do this because reaching filmmakers about funding for their films is the point of our work (our legitimate interest). You can object at any time: a one-line reply is enough, and we stop.
Your visit to this site
We count page visits with Vercel Web Analytics, which sets no cookies and does not identify you. Like every website, our host's servers also see your IP address when your browser asks for a page.

Where it comes from

Mostly from you. When we write to you first, we use your public LinkedIn profile and posts, and public sources about films and funding: published funding decisions, and festival and forum catalogues.

Who helps us

These services process your data for us, and only for the purposes above:

  • Kit (ConvertKit) sends our emails and keeps the waitlist.
  • Tally runs the survey.
  • Vercel hosts this site and counts visits.
  • Google (Gmail) carries the emails we write to you ourselves.
  • Anthropic provides the AI model that helps us match and draft.
  • AutoReach helps us manage LinkedIn conversations.

Some of them are based in the United States. Where your data leaves the European Union, they rely on the EU-US Data Privacy Framework or on the European Commission's standard contractual clauses. We do not use cookies on this site, and the fonts are served from our own server.

How long we keep it

  • Your waitlist email: until you unsubscribe.
  • Your survey answers: until you ask us to delete them, and at most two years after we send your matches.
  • Your roadmap page: until you ask us to take it down, and at most two years after we send it.
  • LinkedIn conversations: at most two years after the last message.

How we use AI

An AI model helps us match funding to your film and draft what we send you. Every call we send is checked again on the funder's own page, and a person reads your matches before they reach you. No decision with legal or similarly significant effect is made about you automatically.

Your rights

You can ask to see what we hold about you, to correct it, to delete it, to limit what we do with it, or to have a copy to take elsewhere. You can object to our use of it, including to being contacted on LinkedIn, and withdraw your consent at any time. Write to theo@mydeartheo.com and we will answer within a month.

If you are not happy with our answer, you can complain to the Polish data protection authority, the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), at uodo.gov.pl.
